When we take a deposit we want to make sure we set that the deposit was paid. Otherwise we would have set this record as a reminder to check on later. Additionally we would not have picked batch mode. We would have selected normal since we want to see that the client has placed a deposit on all the animals. The client paid 500 in the deposit and this has been split equally up between the animals. When we open up a single entry we can see the individual animal has 250 paid against it.
 

These deposits if paid will be automatically tallied up and registered against the client and the animal when the client sale invoice is created. Remember even if you add multiple clients to the sale invoice at the end ensure the client who paid the deposit is attached.

 

Why was the deposit split up? There are numerous reasons why you would not want a deposit to be recorded against a group of animals in your permanent records. Two examples include if the group of animal’s is altered or, if the deposit is refunded on a single animal in the group in the case of a single deceased animal.

15. ADDING A SALE

Before creating a sale always ensure:

  • all your purchase items are available in the “SERVICES AND PRODUCTS LIST” and

  • all the animals you are selling have prices listed against them.

TUTORIAL STEP: Type “TAX INVOICE” in the “TITLE” field > type “INVOICE NUMBER” in the “INVOICE ID LABEL” field > type NO TAX in the “TAX NAME” field > type “TO BE PAID IN FULL BY THE DUE DATE” in the “PAYMENT TERMS” field.

This illustrates that each individual item has the option to be taxed. A tax rate can be applied inclusive or exclusive as applicable. Additionally tapping on the quantity of a product will give you the option to adjust the number of items sold. Discounts can also be applied if need be.
 

Sales data is slightly different to other records. Sales data is recorded and permanently stored in its own separate data store. Data is duplicated so that if tax rates change or any item is accidentally altered the invoice can still be restored as it was initially created.

The example invoice is generated. Company details should be filled out so that your logo and business information is copied and displayed on the invoice. When the e-Invoice is generated you can either screenshot and email it directly to your client or save it as a PDF to be uploaded and distributed at a later time.
